Civil Registration Sample

Definition, Coverage and Validity

This is an official document which is the output of personal information in the family registry board. After print out, this document should be authorized and endorsed by the officer.

There should not be alteration or defects on these documents.

Issuing Civil Registration Sample

Civil Registration Sample can not be given if there is no petition specifying the request reason and in what reason it is going to be used. However, if the person requests this document with his own identification, written petition is not demanded. In the Civil Registration Sample, there is no any information other than identity unless they are demanded by the authorized offices with the excuse reasons specified.

Civil Registration Samples which are not used in their existence term will be dead at end of this term. According to the purpose of use of the registry sample, The Ministry is authorized to shorten this term up to 30 days.

Registration Samples which can be Used in Foreign Countries

For the samples of civil registry, birth & death reports, marriage registry which is intended to be submit foreign official departments; it is used specially designed multi lingual forms.

In case, if a document asked for by a country which have not taken part in the international act, demanded document can be arranged due to the civil registry of the person and then this document should be translated by a sworn translator as an apostil document.

In case, Information and Document Demands by the Foreigners Residing in Turkey or by the Turkish Citizens to Submit to the Foreign Departments

Foreign country official departments can ask for information and documents as long as they state the reason of demand via Ministry Foreign Affairs in a diplomatic way.
Upon a Turkish citizen’s written demand partial or whole of a sample of document and information which is registered in the civil registry directorship so as to be submitted to the foreign institutions and government departments, those information is authorized and endorsed by the city governor and information is given to the attention to the relevant institution as an appendix.

Authority to Demand & Receive Civil Registration Sample

Authorities are able to demand the civil registry sample;

1. Ministry,
2. Overseas Represent Offices,
3. Ministry of National Defense for recruiting purpose
4. Juridical offices
5. Security Departments about Juridical matters
6. Marriage Authorities for this purpose
7. Official health institutions for the death registry
8. Person himself/herself, their spouses, guardians, parents, lower/upper descends, persons who is given official represent office.

They are authorized to attain from the Civil Registry Directorships.
Other persons or institutions who is demanding civil registry sample, should submit written petition and explain why they need this information. Besides, they need to have permission from the ministry and governor.
Persons mentioned other than article 8, can only have information about the person's marital status, nothing else.

Releasing Information about Civil Registry

Information Demand from Third Parties

Third parties can not have any identification information about someone. However, they can demand information about martial status about someone as they explain the reason.

Institutions and corporations; applications for any separate and special studies, academic work, investigation, research or analysis can be rejected.

Investigation of the Registry Boards

Family, special boards, microfilm registries are not open to anyone for investigation, research and they are not allowed to be taken out of the building unless the investigator is specially authorized for this action.

Except the courts, none of the board nor any part of it can not be taken out of the civil registry directorship building. Boards of registry can be delivered or sent to the authorized person from the court upon arranged written report. After court’s investigation, those documents should be returned as soon as possible.
